Registration and Records

This office handles the registration process for all students: credit and noncredit programs, including high school dual credit programs.

Your academic credit is important. Our staff works with you to make sure you get the credit you’ve earned.

Access both official and unofficial transcripts – essential for transferring your college credit and helpful when applying for scholarships and jobs

At Waubonsee, grades are available online through the mywcc portal.

If you are a current student you can update your address, telephone number and email address using the Online Address Change Request in the mywcc portal. Alternately, you can complete and submit the Student Information Change Form.

To request a duplicate diploma or certificate, please send an email with your name, X-number, a contact phone number and the name of the diploma or certificate that you are requesting to graduation@waubonsee.edu. A Credentials Analyst will contact you with information regarding your request.

Please note: there is a processing fee of $10 per document requested.

What is my x-number?
Use our X-number look-up form to retrieve your forgotten X-number. It also appears on your registration documents (schedule, invoice, etc.). If you’re logged into mywcc, it’s shown next to your name in your student profile.

Do I live in the Waubonsee Community College District?
Visit the Residency page and view District #516's map. You can also check your county tax website (DeKalb, Kane, Kendall, LaSalle, or Will counties) to see if Waubonsee is listed as a taxing body.

How can I get an enrollment verification?
Log into mywcc, go to the Records page, and click on Enrollment Verification - National Student Clearinghouse.

How do I obtain my GED transcript?
Contact the Regional Office of Education in the county where you took the test.

Where can I view my schedule?
In mywcc, go to Banner Self-Service to view your current schedule.

How do I view my grades?
In your student profile in Banner Self-Service, click “Unofficial Academic Transcript.”

How do I drop/withdraw a class?
Use the “Drop” or “Web Withdraw” action in your registration summary in mywcc, then click Submit.  You can also drop/withdraw in person using a Change of Enrollment form. Be sure to check refund and withdrawal deadlines.

I have a hold. What are my next steps?
See Holds section under the Registration Details ares to find out which department to contact to resolve your hold.

How do I get on the Waitlist?
If the class has a waitlist option available, click “Add” next to the class, select “Waitlist” from the drop down in your course summary and click submit. For more information please visit the Course Waitlisting page.

How will I know when a spot opens?
You will receive a notification in your Waubonsee student email notifying you that it is your turn to register. You will have 24 hours to log in to mywcc and complete registration before losing your spot.

Do I get charged for waitlisted classes?
No. Charges only apply if you officially register for the class.

How do I order a transcript?
Order online through Parchment. You may also order and pick up a paper transcript in person at the Student Center (Sugar Grove campus). Visit the Transcript Request page for more information.

How do I apply for graduation?

Waubonsee makes it easy to pay for college, with payment plans to help you keep on track and a variety of payment methods accepted by our Student Accounts and Cashier Office. If your account isn’t current, there may be a delay in registration.

Before registering for credit classes, students are required to review and accept the college's Financial Responsibility Agreement. This agreement includes important information about Waubonsee's billing and payment policies. Review it carefully in English or Spanish. Waubonsee is a community college, so everyone is welcome. Tuition and fees are based on residency, and students are classified as district students, out-of-district students, out-of-state students or international students. Students may need to provide proof of residency to the Registration and Records office to confirm their status and continue with the registration process.

At Waubonsee, degree and certificate seeking students may register for up to 18 credits per semester in fall/spring and 12 in summer.  Nondegree students are limited to 10 credits per semester.  If you find that your goals have changed and you need to update your status, you can submit a Change of Major request through mywcc.  We also encourage you to speak with your Academic Advisor to ensure you are in the correct program.

Waitlisting allows students to be added to a list for a course that is full. When a seat opens, the first student on the list will be notified and given a chance to register.

Students may be allowed to enroll in a course after the registration deadline has passed by going through the Late Enrollment process. Late Enrollment is only available during the first week of 12, 11 and 8-week courses; shorter courses and weekend courses are not eligible for Late Enrollment.

Steps to Late Enrollment:

1. Students must submit the Late Enrollment Request form available in mywcc. This request will be reviewed by the appropriate dean’s office and the instructor. Only one course can be submitted at a time. Students seeking to enroll late in multiple courses would have to submit a request for each course.
2. If approved, the Registration and Records office will process the registration. An email will be sent once the transaction is complete or if there is an issue. Any issues (prerequisite, hold, etc.) must be resolved by the late enrollment deadline. An email notification will also be sent if the request is denied.

When you enroll, you declare your major and follow its degree program. However, you may decide to add courses that aren’t part of your degree program. This can impact the registration process and perhaps your financial aid package. You may need to drop the class(es) or talk with our advisors about updating your major using the major change form in mywcc or in person at any campus.

The list of codes for each major may help if you need to update yours.

Many classes require a prerequisite course or placement test that must be completed before you can take the course. If you register for a course with a prerequisite but feel you've met the requirement through coursework at another institution, a transcript or other authorization may be needed. The transcript can be provided to the Registration and Records office.

A hold on a student record may prevent course registration. Holds are put in place for a variety of reasons, from the need for proper course placement to an outdated address to an outstanding financial balance.
